  • Property information: Property name, address, phone number, and city.
  • Vendor information: Vendor name, company name, phone number, email address, specialty, service area, and notes. This information may be provided by you or by a property owner who adds you as a vendor.
  • Issue reports: Descriptions of maintenance issues, photos, priority levels, and status updates, including reports submitted by staff members via public report links.
  • Communications: Messages exchanged between property owners and vendors through the Service, including service request details and responses.

2.2 Information Collected Automatically

  • Log data: IP address, browser type, operating system, referring URLs, pages visited, and timestamps.
  • Cookies: We use essential cookies to maintain your session and preferences. See Section 7 for details.

2.3 Information from Third Parties

Property owners may provide vendor contact information (name, email, phone) when adding vendors to the platform. If you are a vendor whose information was added by a property owner, you will be notified via email or SMS when a service request is sent to you.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Create and manage your account.
  • Connect property owners with vendors for maintenance and service requests.
  • Send transactional emails via Postmark, including service request notifications, vendor introductions, issue updates, and account-related communications.
  • Send SMS messages via Twilio to notify vendors of urgent service requests ("bat signal" quick contact) when a phone number is on file.
  • Facilitate communication between property owners and vendors, including token-based vendor response pages.
  • Enable staff members to submit issue reports through public reporting links without requiring an account.
  • Improve, personalize, and optimize the Service.
  • Detect, prevent, and address fraud, abuse, or technical issues.
  • Comply with legal obligations.

4. Email and SMS Communications

4.1 Transactional Emails

We send emails through Postmark for core Service functionality, including:

  • Service request notifications to vendors.
  • Vendor introduction emails initiated by property owners.
  • Vendor replies forwarded to property owners.
  • Account verification and password reset emails.

These are transactional messages necessary for the Service to function and are not marketing communications.

4.2 SMS Messages

We may send SMS messages through Twilio to vendor phone numbers for urgent service requests. SMS is only sent when:

  • A property owner initiates a "quick contact" request for a specific vendor.
  • The vendor has a phone number on file.
  • SMS functionality is enabled on the platform.

Standard messaging rates may apply. Vendors may opt out of SMS communications by contacting us at the email below or by requesting their property owner to remove their phone number.

4.3 Opting Out

You may opt out of non-essential communications by contacting us. Transactional emails required for the Service to function (e.g., service request notifications) cannot be opted out of while using the Service.

5. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

  • Between users: Vendor contact information (name, company, phone, email, specialty) is visible to property owners who have added that vendor. Property and issue information is shared with vendors through service requests.
  • Service providers: We use third-party services to operate the platform:
    • Postmark (Wildbit, LLC) — for transactional email delivery.
    • Twilio (Twilio Inc.) — for SMS message delivery.
    • DigitalOcean (DigitalOcean, LLC) — for hosting and infrastructure.
  • Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. When you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or legitimate business purposes (e.g., resolving disputes, enforcing agreements).

Vendor records created by property owners are retained independently of vendor user accounts and may persist as long as the property owner maintains them.

7. Cookies

We use the following types of cookies:

  • Essential cookies: Required for the Service to function, including session management and CSRF protection. These cannot be disabled.
  • Functional cookies: Used to remember your preferences, such as cookie consent choices.

We do not use advertising or third-party tracking cookies. You can manage your cookie preferences through the cookie settings banner or by adjusting your browser settings.

8. Data Security

We implement reasonable technical and organizational measures to protect your information, including:

  • Encryption of data in transit using TLS/SSL.
  • Encrypted storage of credentials and sensitive configuration.
  • Token-based access for vendor response pages (no account required).
  • Role-based access controls (property owner, vendor, admin).
  • Bot protection measures on account registration.

However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

9. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your personal information (subject to legal exceptions).
  • Object to or restrict certain processing of your data.
  • Data portability — receive your data in a structured, machine-readable format.
  • Withdraw consent where processing is based on consent.
